Turn Equipment Data Into Better Fleet Decisions

A machine appears on the asset list in your telematics platform, but no one is sure which jobsite it’s on. Another is assigned to an active project yet runs only a few hours a week. A third remains out of service after a fault code was cleared and forgotten. Across a fleet, those gaps can lead to unnecessary rental fees, unplanned downtime and lost productivity.

Many contractors still piece together their view of the fleet through spreadsheets, phone calls and field updates. Despite the availability of digital systems, a 2026 study by Teletrac Navman found that 75% of fleets relied on manual logs as a primary tracking method. In addition, 87% of fleets that invested in digital technology to monitor their assets do not use their data to its full potential.

To guide decisions during the workday, location, status and utilization data must be easy to access and understand. For many operations, the challenge is no longer capturing equipment data: It is making the information intuitive enough to support daily fleet management.

See the Machine, Then Understand the Work

Telematics systems commonly report location history, engine hours, battery voltage, fault codes, trailering events, geofence activity, idle hours and fuel consumption. Fleet managers can organize that information around three practical questions: Where is the machine? How is it being used? When does it need attention?

Reading Between the Lines

Location history may reveal an after-hours move, a machine at the wrong site or activity that warrants a theft check. Utilization data shows whether equipment assigned to an active job is working. Engine hours, idle time and fuel use help describe that work, while battery readings, service intervals and fault codes identify equipment that may need service. A cleared fault code does not necessarily mean the underlying condition has been resolved.

Teletrac Navman’s research found that nearly half of equipment assets may be idle at a given time. Utilization reports can help explain why. A machine may be located at an active jobsite but run only a few hours each week, even as another crew rents a similar unit elsewhere. It may also idle between short tasks, consuming fuel and accumulating engine hours that count toward service intervals and, on newer equipment, available warranty hours.

Those readings still require jobsite context. Utility work, for example, may require a machine to idle while crews attach pipe, position materials, complete inspections or prepare for the next phase. Higher fuel consumption may indicate a mechanical issue rather than an operating habit. Telematics reveals the pattern, but the crew and application explain it.

Connect Each Signal to a Response

One landscaping company took a direct approach to acting on machine data. The fleet manager used utilization reports to review how subcontractors were using company equipment. Because healthy utilization varies by machine, crew and application, it provides a starting point rather than a universal benchmark.

The crews changed their habits once poor machine care began interrupting their progress. “Now the guys are a lot more proactive instead of being reactive,” he said.

Remote engine disable will not fit every operation, but each useful alert requires a defined response. A geofence breach might prompt a call to the jobsite, repeated high idle time could lead to an operator conversation and a recurring fault code should trigger an inspection. A service reminder requires the same follow-through to avoid unnecessary downtime.

Manage Utilization, Maintenance & Fleet Mix Together

Healthy utilization supports a profitable, predictable operation. The goal is to get enough work from each asset to justify its cost while protecting its condition and resale value. What healthy utilization looks like varies by machine type, crew and application. Because contractors often do not have time to analyze every available metric, utilization can provide a practical starting point.

Many telematics platforms allow managers to group machines by jobsite or equipment type, bringing fleetwide patterns into one view. One crew may have a lightly used machine while another rents the same type of equipment. Elsewhere, a machine may be accumulating hours much faster than similar fleet units.

These patterns point to assets whose application, condition or role in the fleet deserves a closer look. Maintenance data adds context. A machine that has not been properly serviced may appear unavailable, creating the impression of a capacity shortage and prompting unnecessary rental or purchase. Reviewing utilization and maintenance together helps distinguish a temporary service issue from a true equipment need.
