The Occupational Safety and Health Administration (OSHA) usually conducts jobsite inspections without advance notice, which can be an intimidating experience if you are unprepared to respond to an OSHA compliance officer.

Preparing your supervisors and crews to respond appropriately to all questions and requests will create a smoother experience for all involved.  Follow these general guidelines:

1. Develop written policies and procedures for handling OSHA jobsite inspections.

2. Select well-trained employees to represent your company during the inspection process.

3. Create an OSHA Inspection Report form to provide a structured format and generate accurate documentation for any required follow up.

4. Record the compliance officer’s credentials and the OSHA office address and phone number. Then, call to verify credentials.

5. If applicable, notify your company’s main office of the impending inspection.

6. Company representatives should accompany the compliance officer throughout the opening conference, the walk-around inspection and the closing conference.

7. Document the compliance officer’s comments and actions throughout the inspection process.

8. Cooperate fully with the compliance officer’s requests for interviews and documentation.

9. Correct any violations identified by the compliance officer immediately, if possible.

10. Provide records that support your compliance efforts or assist OSHA in determining the time needed to correct any identified hazards.

11. Make sure your OSHA Inspection Report form is filled out completely, along with copies of notes, pictures and any documentation provided to the compliance officer.
